Field crews need reliable exception handling more than a perfect map. Workyard, Timeero, and QuickBooks Time represent construction job-site evidence, mobile route and mileage evidence, and connected time workflows. The shortlist should follow the field decision the organization actually needs to make.
Shortlist by field-work evidence
Evaluate Workyard when construction crews, jobs, cost codes, and job-site review are primary. Evaluate Timeero when mobile time, routes, stops, travel, and mileage context are central. Evaluate QuickBooks Time when approved field hours and jobs need to move through a broader QuickBooks-centered accounting or payroll workflow.
Map worker, crew, device, punch, schedule, job, cost code, location, route, travel, mileage, break, offline queue, manager edit, approval, payroll destination, and report. Give each record a purpose, owner, viewer, correction path, retention decision, and export requirement.
Do not treat location as automatic proof of worked time, mileage treatment, or discipline. Decide what the map can inform and what still requires employee and supervisor review.
Scenario: a crew changes jobs while offline
A crew begins at one site, travels to another, and loses connectivity. Later synchronization contains a wrong job code, incomplete location, and disputed mileage. The supervisor already approved the period, and payroll preparation has started.
Workyard should show whether the construction sequence and cost-code correction remain clear. Timeero should show whether route and mileage context can be reviewed without replacing the time record. QuickBooks Time should show whether the corrected field record remains traceable through the connected downstream process.
Repeat the day with a replacement phone and a shared vehicle. Device identity is not worker identity, and vehicle movement does not establish what every passenger was doing.
Run a field-crew evaluation
Use fictional workers, jobs, routes, and locations:
- Record connected, offline, missed, travel, mileage, and two-job entries.
- Create a weak-location gap and an incorrect job or cost code.
- Require employee explanation, supervisor correction, and reapproval.
- Lock the period, synchronize late data, and prevent duplicate transfer.
- Reconcile time, jobs, location context, mileage, payroll, and reports.
- Export records, edits, approvals, roles, settings, maps, and logs.
This publication has not performed the evaluation. Buyers can reproduce it with field operations, payroll, privacy, and employee representatives. Ask a backup supervisor to reconstruct the same day without vendor narration.
Score more than capture success. Record battery and connectivity behavior, employee effort, exception visibility, manager handoff, mapping recovery, downstream status, and the completeness of exports. Ask a new field employee to follow the proposed instructions without sales help, then have a supervisor review the result. Confusing job labels and hidden offline queues are implementation findings, even when the final weekly total is correct.
Edge case: one signal becomes final truth
GPS may be delayed, incomplete, device-dependent, or unrelated to whether compensable work occurred. A manager may also correct a route for operational reasons while payroll needs the original and final time history.
Federal wage and recordkeeping requirements and state privacy rules depend on current facts. Product capabilities do not prove compliance. Establish time, travel, mileage, notice, access, employee correction, retention, deletion, and export policies outside the product. Inspect saved reports and integration copies when managers change or the contract ends.
Selection criteria and conclusion
Prefer Workyard when construction job-site and cost evidence resolve the main dispute. Prefer Timeero when route and mileage workflows solve the larger problem. Prefer QuickBooks Time when downstream QuickBooks alignment removes material reconciliation.
Compare mobile adoption, jobs, cost codes, offline sync, location limits, routes, mileage, edits, approvals, cutoff behavior, payroll handoffs, privacy, retention, and exports. The best field system helps managers resolve an imperfect day while collecting only evidence the organization can govern and employees can challenge.
